Workflow Watchdog

A HubSpot app that checks your workflows once a day and tells you when one has stopped without raising an error.

When a HubSpot workflow breaks, it usually doesn't look broken. A form field gets renamed, a property is merged during a cleanup, a connected app is disconnected — and the workflow keeps running "normally". It just stops enrolling anyone. There is no error banner, no failed action, nothing to notify you. You find out weeks later when someone asks why leads stopped getting assigned.

Workflow Watchdog reads your active workflows every day and flags three things:

  1. Silent stops — enrollments dropped to zero, or fell sharply, compared with the previous week. No error reported.
  2. Configuration / validation errors that HubSpot's API exposes but that are easy to miss across dozens of workflows.
  3. Orphaned workflows — no edits in 90+ days, with the last editor named where HubSpot reports one, so you can check whether that person is still around.

How this differs from HubSpot's built-in tools. HubSpot's Workflow Health tab (Professional and Enterprise) lists workflows with zero enrollments for 90 days — if you go and look. HubSpot shipped Workflow Issue Notifications in December 2023 — announced by its product team as live “for all Enterprise customers” — so on Professional they are not an option. Workflow Watchdog pushes a Slack alert within a week of enrollments dropping, and works on Professional portals. It compares the last 7 days against the 7 before, so it catches breakages from the day you install onward. A workflow that was already at zero before you installed is not caught by that rule, so use the Health tab once for the existing backlog.

Which HubSpot tiers does it work with?

Professional and Enterprise, since HubSpot workflows themselves start at Professional.

I have more than 15 workflows on the free plan. What happens?

The first 15 active workflows are checked and the rest are skipped. They are taken in the order HubSpot returns them, which you cannot choose. When any are skipped, the alert says how many, so you always know. Email us to lift the limit.

Where do alerts go?

To a Slack channel via an Incoming Webhook URL that you provide right after installation. See the setup guide.

When does the check run?

Once a day at 23:00 UTC, which is 6–7pm New York and 3–4pm Los Angeles depending on daylight saving, and 8am the next morning in Tokyo. If nothing is flagged, nothing is sent.

Can I check on demand instead of waiting for the morning?

Yes. After installing you get a private settings link. It has a "Run a check now" button that shows the result on screen immediately. Use it to see what the app finds in your portal before you decide to keep it.

Can it change my workflows?

No. It only reads.

How do I cancel or uninstall?

Disconnect the app in HubSpot under Settings → Integrations → Connected apps. Access is revoked immediately. The stored token and Slack URL are deleted at the next daily run, normally within 24 hours. Email us if you want them removed sooner.
