Setup Guide
Workflow Watchdog checks your active HubSpot workflows once a day and alerts a Slack channel when it finds:
- Configuration or validation errors
- Workflows nobody has edited in 90+ days (possible owner turnover), with the last editor named
- Enrollments that dropped to zero or fell sharply compared with the previous week (something upstream likely broke, silently)
1. Install the app
- Open the install link: Install Workflow Watchdog
- If prompted, log in to HubSpot and choose the portal you want monitored (Professional or Enterprise).
- HubSpot shows the permissions requested:
- Workflows (automation) — read. This is what the app uses.
- Contacts — read. HubSpot’s workflows API returns an empty list without it, so the app cannot function without it. The app itself never calls a contacts endpoint.
- Nothing else. No write access anywhere, and no access to deals or companies.
- HubSpot shows a red notice saying the app has not been reviewed, with a checkbox to acknowledge it. Every app that is not yet listed on the Marketplace gets this screen. Tick the box, then click Connect app.
2. Add your Slack channel
Right after connecting, you'll see an Installed page with one field: a Slack Incoming Webhook URL.
- In Slack, create an Incoming Webhook for the channel that should receive alerts (Slack's guide: api.slack.com/messaging/webhooks). The URL starts with
https://hooks.slack.com/services/…
- Paste it into the field and click Save and send a test message.
- A test message appears in the channel. If it arrived, you're done.
Skipped this step? The daily check still runs, but nothing is delivered. The Installed page also shows a private settings link. Save it, and you can change the channel later without reinstalling. Anyone holding that link can change where your alerts go, so keep it to yourself. Lost it? Open the install link again to get a fresh one.
3. What you'll receive
Once a day at 23:00 UTC, which is 6–7pm New York and 3–4pm Los Angeles depending on daylight saving, and 8am the next morning in Tokyo. Only on days when at least one workflow is flagged:

No alert means nothing was flagged that day.
4. Checking on demand, and changing the channel
The Installed page shows a private settings link. Save it. Opening it lets you do two things without reinstalling:
- Change the Slack channel. Paste a different webhook URL and save.
- Run a check now. The result appears on screen straight away, so you do not have to wait until the next morning to see what the app finds in your portal. If anything is flagged, the same report also goes to Slack.
Anyone holding that link can change where your alerts are sent, so treat it like a password. Lost it? Open the install link again and a fresh link replaces the old one.
Disconnecting
- In HubSpot, go to Settings → Integrations → Connected apps.
- Find Workflow Watchdog and click Disconnect.
Disconnecting revokes access immediately, so no further checks or alerts happen. The stored token and Slack URL are deleted at the next daily run, normally within 24 hours. Email us if you want them removed sooner. Your workflows are never affected — the app only reads.
